The old technology systems for accounting, CRM, and internal communication were no longer sufficient for managing a large-scale retail chain, leading to inefficiencies in sales, inventory management, and financial processes.

Determined to standardize operations and build a solid foundation for future growth, the leadership team at Anna Eyewear decided to implement Odoo ERP, a powerful open-source solution.

The need for digital transformation: When growth reaches its limits

Before adopting Odoo, Anna Eyewear faced several challenges, including a complex promotion system that could not be automatically handled by their old software, data scattered across multiple systems with a lack of synchronization, no real-time overview of operational and financial performance, and a fragmented accounting process with limited control.

“Whenever I needed to consolidate revenue or inventory data, I had to wait for my staff to compile information from three or four different systems, which was time-consuming and inaccurate,” shared Tuân Phạm, CEO of Anna Eyewear.

Instead of a radical overhaul, the team at A1 Consulting and Anna Eyewear’s management took a cautious yet strategic approach. They broke down the digital transformation process into specific stages, starting with the most apparent bottlenecks in daily operations.

One of the initial steps was to standardize the sales system in the stores. Processes like calculating promotions, issuing invoices, and checking inventory, which previously relied heavily on manual work, were digitized and synchronized within a user-friendly interface.

At a deeper operational level, the inventory system was directly connected to the POS and purchasing department, creating a continuous data flow. This enabled the headquarters team to have real-time visibility over stock levels at each branch, facilitating accurate replenishment planning and reducing stockouts and excess inventory.

In the back office, the finance and accounting departments benefited significantly from the integration of real-time operational data. Financial reports could now be instantly retrieved in compliance with VAS standards, enabling faster decision-making and cost control.

After the “main system adjustment” phase, Anna Eyewear expanded its focus to longer-term goals: customer relationship management, employee care, and building an omnichannel sales platform. Each step was carefully considered regarding the team’s absorption capacity and market timing. Even during the project’s peak period around the Tet holiday, both parties flexibly coordinated training and night support schedules to avoid disrupting business operations.

Results after 7 months: From operational refinement to a foundation for growth

May 2025 marks a significant milestone as the Odoo ERP system officially went live at Anna Eyewear. The changes were evident not only in the software but also in the entire chain’s streamlined and transparent operations.

In the stores, the customer experience was noticeably improved, with faster checkout processes and accurate promotions. Inventory checks and coordination between branches became smoother, reducing data discrepancies and saving processing time.

At the management level, the leadership team could now monitor financial, operational, sales, and profit data in real time. Standardized and continuously updated reports became strategic decision-making tools rather than mere “end-of-period summaries.”

More importantly, Odoo provides a solid foundation for the future, enabling expansion, omnichannel integration, loyalty program deployment, and the development of a comprehensive eye care ecosystem.

“Over seven years ago, when we had only 1-2 stores, Anna Eyewear had a dream: to own a customized software system tailored to our brand’s needs and development orientation.
